Freelance contract signing without a fight: a flow that actually finishes
A freelance fight about signing is rarely about eIDAS. It is about three PDFs, a client who 'meant to do it tonight', and a start that slips. The flow that works: one file, a link with no account, a short deadline, SES with a log. BankID is almost never what was missing. What was missing was someone owning the send.
Where the fight actually starts?
Not in court. In Slack: 'can you just sign the one I sent in March'. Which one. The one with the hourly rate or the one with the cap. You open three attachments. Nobody knows.
Freelancers are polite and send a new 'final'. Clients are busy and sign the first one they find in Downloads. Both think they have cover. Both have mess.
Fix ownership: one person sends one file. The other tags it. The finished file goes back to both. Everything else is fan fiction about the deal.
Do not start in Figma before the PDF is marked if you have been burned before. You know yourself.
What has to be in the PDF before anyone sees a field?
Scope, price, when money moves, what is not included, termination, who owns the sketches. Signature fields will not save a vague 'we'll figure it out as we go'. SES proves yes. It does not write the SOW.
A start date. 'When you have time' is how August eats June. Write a day.
If the client brings their template: read it as if you are not friends. Time-and-materials hiding as fixed fee is a classic. Tag after you have read, not while smiling on Zoom.
An agent or middle-person who 'will sign for the client' needs authority in the text, not a forwarded link.
The flow: send, do not negotiate in the field?
Negotiate in email or a meeting. When you agree, freeze. Upload. Send the link. 'Just a small change after' is a new document. Be boring. Boredom is professionalism.
The other person does not need an account. If they must, you lose days and the mood. An email code is fine. A registration wall is not, for a three-week job.
Parallel if both must sign and you already agree. Sequence if the client must approve internally first — then the internal person is a signer or an approver, not a secret Slack thread.
If the client sends DocuSign and you send another track, pick one. Two envelopes on the same text is how you sign different drafts.
Money, start, and 'we'll sign later'?
Do not start full production on a smile. A kickoff sketch you can give. The whole delivery without a marked PDF is how you finance their indecision.
If they do not tag by the deadline, nudge once, call, then stop the calendar. You are not a bad person. You are an adult with capacity.
A deposit in the contract, marked, before big purchases. SES is enough between people who have exchanged invoices before. QES is theatre here unless the sum is wild or the relationship is cold.
When it still gets messy?
They decline. Read the reason. If the text is the problem, fix and resend. If they ghosted, void the job so it does not glow for three months.
They sign and ask for a change. That is an add-on. A new file or a short addendum, marked. Not 'we agreed on the phone' alone when the sum jumps.
They show a yellow triangle in Acrobat and think the contract is dead. Explain CA and hash. Send the evidence pack. Do not switch to ink in a panic unless they are paying for ceremony.
A mini-archive that saves next year?
A folder per job: draft, sent PDF, signed PDF, receipt. Hash in a note if you are pedantic. You will thank yourself when they ask about 'that deal from last year'.
A template for the send email. Three sentences. No novel.
If you use an ads-funded track: SES, PAdES against their CA, not BankID. Say it once to the nervous client. Then work.
What about foreign clients, currency, and 'we use their portal'?
Foreign clients with no BankID: SES. Full stop. Do not pretend you can force Norwegian eID into a studio in Porto. Currency and VAT belong in the text, not in the signing tool. The tool marks. It does not invoice.
Their portal: follow it if the job is big enough. If the portal wants you to create an account and upload a passport, that is their risk appetite. Yours is to read what you upload.
Time zones kill deadlines. 'By Friday' must be Friday where. Write a time and a zone. The SES log will show UTC anyway. Their brain will not.
Set a personal rule: no kickoff without a marked file, except a free sketch you can afford to lose. Write the exception down. Exceptions that only live in your head become every job. SES is cheap. Unpaid week three is not.
FAQ
The client just wants an email saying 'agreed'. Is that enough?
Often legally. Bad when the job lasts and someone forgets what 'agreed' pointed at. A marked PDF is cheap insurance.
Do I have to wait for them to create a DocuSign account?
No. If the tool demands it, the tool is wrong for the relationship. Link, tag, done.
What if they edit the PDF and send it back?
That is a new draft. Void the old one in your head. One true file. Do not sign two versions 'to be nice'.
Freelance needs one true PDF and a yes with a date — not an enterprise seat and not an eID queue. Freeze the text, send the link, stop collecting finals.
